Who we are

In System VB is a club operating platform operated by Arbel Industries ("we," "us," or "our"). This Privacy Policy explains how we collect, use, and share information when clubs, directors, coaches, families, and visitors use the In System VB website, club sites hosted on the platform, the In System VB mobile apps, and related services (the "Services").

Individual volleyball clubs that use In System VB are responsible for the content they publish and for how they communicate with their own members. This policy covers Arbel Industries as the platform provider, not each club's separate program rules.

Information we collect

We may collect:

• Account and admin data: names, emails, passwords or session tokens, and club branding settings used to operate a director account.
• Family app account data: guardian or athlete name, email, password or magic-link session tokens, role (guardian, athlete, coach, staff, director), team membership, and optional profile photo.
• Club content: schedules, rosters, coach bios, announcements, tryout copy, contact messages, family directory records, and other information directors choose to store.
• Team chat content: messages, shared photos, and optional location pins that a signed-in user chooses to send in club threads. Chat content is visible to other members of that thread according to club permissions.
• Device permissions (mobile app): when you grant them, the app may access your photo library or camera for chat and profile photos, and approximate or precise location only when you choose to share a location in chat. We do not track location in the background.
• Usage and technical data: IP address, browser type, device information, pages viewed, and approximate location derived from IP, used to keep the Services secure and reliable.
• Billing data: when Stripe checkout is enabled, payment details are processed by Stripe. We receive limited billing metadata such as plan, status, and receipts.

How we use information

We use information to:

• Provide, host, and improve the Services
• Authenticate directors and family app users and protect accounts
• Deliver schedules, announcements, and team chat in the web and mobile apps
• Send transactional messages such as magic sign-in links, contact notifications, or account notices
• Process subscriptions and support requests
• Detect abuse, debug outages, and meet legal obligations

We do not sell personal information.

How information is shared

We may share information with:

• Service providers that help us host, email, store files, or process payments (for example infrastructure and Stripe), under contracts that limit their use of the data
• The club that collected it, when a family submits a contact form or a director manages roster and directory records for that club
• Authorities when required by law or to protect the safety, rights, or property of Arbel Industries, clubs, or users

Push notifications

The mobile apps do not currently send push notifications. If we add them later, we will request permission on device and update this policy before collecting device push tokens.

Youth and family data

Clubs may store information about youth athletes and guardians. Directors are responsible for collecting only what they need, publishing youth information carefully (for example initials on public rosters), and responding to family requests about their own club records. Parents or guardians who want a club to change or remove roster information should contact that club first. Platform-level deletion requests can be submitted on the Delete account page.

Cookies and similar tech

We use cookies and similar technologies for authentication, security, and basic analytics needed to run the Services. You can control cookies through your browser settings. Disabling essential cookies may prevent director login from working.

Data retention

We keep account and club data while a club subscription or demo relationship is active, and for a reasonable period afterward for backups, billing, dispute resolution, and legal compliance. When a deletion request is verified, we remove or anonymize personal data we no longer need.

Security

We use administrative, technical, and organizational safeguards designed to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your choices

Directors can update club content and many account settings inside admin. To request access, correction, or deletion of platform account data, use Feedback or Delete account.

Changes

We may update this Privacy Policy from time to time. The "Last updated" date at the top will change when we do. Continued use of the Services after an update means you accept the revised policy.
